Tour Cancellation & Payment Policy
Thank you for choosing POA Safaris. To ensure smooth operations and fairness for all parties, please read the following payment and cancellation terms carefully before finalizing your booking.
1. Booking & Deposit Terms
Payment runs in three stages. Your booking is only officially confirmed once the deposit has been received and acknowledged by POA Safaris.

Of your invoice value, within 14 days of receiving your invoice.

Due at least 30 days before your departure date.

Stage 3 · On the ground
Paid in cash (USD) to your guide at the Welcome Meeting.
Booking within 30 days of departure? The first two stages, 80% of the invoice, are payable immediately, with the remaining 20% in USD cash at the Welcome Meeting as usual.
2. Guest Cancellations & Fees
All cancellations must be submitted in writing via email to info@poasafaris.com. Refunds are calculated based on the date written notice is received and are subject to the following charges:

Additional cancellation notes
· Non-refundable items: National park fees, domestic flight bookings, and special permits (e.g., trekking permits) purchased on your behalf are 100% non-refundable at any time.
· No-shows: A 100% cancellation fee applies for late arrivals or non-attendance.
· Early departures: No refunds will be issued for unused nights, missed activities, or unused services during the tour.
3. Group Departures & Private Safaris
A scheduled group departure needs at least 4 travellers to run. See Section 5 for what happens if that number is not reached.
Private safaris have no minimum. Travel as a pair, a family or on your own, and the trip runs regardless. The per-person price differs from the listed group rate, and Doctor quotes it for your group.
Group departures: Due to fixed shared costs, stricter penalties apply. A 50% cancellation fee applies from 60 days prior to travel, and a 100% fee applies within 30 days.
Private safaris: Subject to the standard fee structure in Section 2. Date changes may be accommodated subject to availability and supplier terms.
4. Amendments & Booking Changes
One date change is permitted free of administrative charge if requested 30+ days prior to travel. Requests within 30 days incur a 20% amendment fee plus any additional supplier costs.
Name changes are permitted up to 14 days prior to travel for an administrative fee of $50 USD per person, subject to third-party supplier rules (e.g., airlines).
5. Cancellations by POA Safaris
In the unlikely event that POA Safaris must cancel a tour due to insufficient group numbers, political unrest, or force majeure events, guests will be offered the choice of:
Full refund
All monies paid directly to POA Safaris, returned in full.
Free transfer of payment
Toward an alternative travel date or itinerary, at no extra cost.
POA Safaris is not liable for indirect costs incurred, such as international flight tickets, visa fees, or vaccination costs.
6. Force Majeure & Travel Insurance
POA Safaris is not liable for failure to perform its obligations where such failure results from Acts of God (including fire, flood, earthquake, storm, or other natural disasters), war, invasion, acts of foreign enemies, hostilities, civil war, rebellion, government sanctions, labor disputes, or pandemics.
Comprehensive travel insurance is compulsory for all guests, on every POA Safaris tour, in every country we travel through.
We cannot take a client without it. Your policy must include coverage for trip cancellation, medical expenses, emergency air evacuation, and loss of personal luggage.
7. Payment Details & Bank Transfer Information
The first two stages, 80% of your invoice, are paid by bank transfer. Send proof of payment to info@poasafaris.com with your tour name as the payment reference. The final 20% is paid in US dollars, in cash, to your guide at the Welcome Meeting, not by transfer.

Agreement: By paying a deposit or full balance, you acknowledge that you have read, understood, and agreed to the terms and conditions outlined in this policy.
